Description: 

The University of Toronto Scarborough has been a leader in Co-operative Education and Work Integrated Learning (WIL), since creating the first co-op program in 1972. Co-op and WIL give students an opportunity to test skills learned in the classroom, and to expand their knowledge through related work experience.

The Arts and Science Co-op Office empowers over 2,000 undergraduate and 80 graduate students from 35+ academic areas each year. Through extensive preparation, students are enabled to successfully compete for academically relevant and meaningful paid co-op and internship work terms that contribute towards their educational, professional and individual goals.

The Arts & Science department forges lasting employer and community partnerships by providing excellent and individualized service and connecting partners with industry-ready students who will contribute significantly to their workplace. 

A coordinated effort among the stakeholders of student, employer/community partners, and university, co-op and WIL programming contributes to the development of well-qualified graduates who are prepared to assume a productive role in society. With a commitment to equity, diversity and inclusion, the department works closely with academic departments and support services on campus and with employer and community partners to support students as they work to achieve their academic and co-op/WIL aspirations.

Reporting to the Director, the Assistant Director, Services and Systems is an integral part of the Arts & Science leadership team. The incumbent is responsible for providing strategic leadership and operational management of the Support Services team. This role will focus on a number of key areas including 1) student outreach, admission, and retention 2) co-op job recruitment cycle operations, 3) student co-op policies & records, 4) business intellegience, 5) marketing and communications, 6) human resource management, and 7) planning and administration. The incumbent has full managerial authority over the newly created Support Services unit, including Business Intelligence, Marketing & Communications and Operations staff. They will lead and oversee the deliver of high quality support services, with a focus on service excellence.

 

Qualifications:

(Minimum qualifications)

EDUCATION: Bachelor’s degree and/or equivalent combination of education and experience. 
 
EXPERIENCE: At least 6-7 years of related experience in a management role overseeing a multi-faceted department, preferably within a unionized post-secondary environment.

Experience with business intelligence and service operations in a data driven environment. 

Experience with Co-operative Education, Work Integrated Learning, Career Services or other related student services programs considered a strong asset. 

Strong demonstrated experience with business process improvement methodologies (ie. Lean Six Sigma) considered as asset.

Demonstrated experience and expertise in designing, implementing and leading staff through change.
 
SKILLS: Advanced computers skills essential, including: Microsoft Office applications, in particular Excel (specifically pivot tables, formulas, relational tables, Macros) and Visio; experience with Symplicity, Salesforce, Qualtrics or other CRM or lead management platforms a strong asset. Working knowledge of Tableau, Cognos Cubes and other reporting tools preferred. Data analysis skills, including analyzing data and identifying meaningful trends and results. Continuous and process improvement skills.
 
OTHER: Excellent presentation and written and oral communication skills. Excellent organizational, analytical and project management skills.  Strong presentation skills and ability to  train and motivate. Well organized, focused and goal‐oriented; proven ability to advise, to inspire confidence and to persuade; ability to be flexible in working independently as well as collaboratively; exhibits initiative to organize and follow through with complex tasks to meet deadlines; ability to solve problems in a strategic and tactical manner; strong conflict management skills. Requires advanced level of acuity to anticipate and synthesize impact of decisions made.
